Key Responsibilities:
- Greet and welcome visitors in a professional and friendly manner
- Answer and direct incoming phone calls promptly and courteously
- Manage the reception area to ensure it remains tidy and presentable
- Handle incoming and outgoing mail, deliveries, and courier arrangements
- Schedule and coordinate meetings, including room bookings and refreshments
- Provide administrative support to various departments as needed
- Maintain office supplies and reorder when necessary
- Assist in document preparation, filing, and data entry tasks
- Manage company calendars and contact lists
- Coordinate ad hoc travel arrangements (flights, hotels, transportation) for staff and management
- Support onboarding of guests or new employees (e.g., access cards, laptop, welcome materials)
- Handle general inquiries and provide accurate information when required
Requirements:
- A minimum of 4 years' experience in administrative support or a comparable role
- Exposure to the trading or maritime/shipping sectors is a plus
- Strong verbal and interpersonal communication abilities
- Proficient in Microsoft Office applications – particularly Excel, Word, and PowerPoint
- Comfortable using digital conferencing platforms (e.g., Zoom, Teams)
