We’re working with a leading offshore maritime organisation operating across the Middle East and Far East, who are seeking an Operations Project Coordinator to join their dynamic operations team. In this role, you’ll take full ownership of offshore vessel contracts from commercial handover through to project close-out, acting as the central operational point of contact while coordinating closely with vessels, clients, and internal departments to ensure safe, efficient, and compliant project execution, maintain strong client relationships, and support commercial and operational performance across the fleet.
Key Responsibilities
- Manage offshore vessel contracts from commercial handover through mobilisation, execution, demobilisation, and final close-out.
- Act as the primary operational point of contact for assigned vessels, coordinating daily activities and communications.
- Liaise with Commercial, Technical, Crewing, Purchasing/Logistics, and QHSE teams to ensure contractual, operational, and regulatory requirements are met.
- Support the commercial team during tender preparation, cost estimates, and operational clarifications.
- Plan and coordinate vessel mobilisation and demobilisation activities, including kick-off meetings with internal and external stakeholders.
- Maintain full control of project planning, scheduling, and ERP updates, including invoicing milestones.
- Manage operational budgets, purchase orders, and cost control throughout the project lifecycle.
- Identify and mitigate operational risks through risk assessments and implementation of appropriate control measures.
- Coordinate port calls, harbour berthing, and agent appointments when required.
- Ensure accurate and timely operational reporting, including DPRs, MoMs, On/Off Hire documentation, VORs, and final project feedback reports.
- Manage client communications, including reporting, invoicing, payment follow-up, and contractual amendments.
- Ensure quality documentation is prepared, reviewed, submitted, and approved in line with company and client requirements.
- Participate in incident/accident reporting and support investigations where required.
- Act as appointed person ashore and provide out-of-hours vessel support on a rotational basis.
- Provide operational cover for the Operations Manager during absences when required.
- Previous experience in offshore operations, project coordination, or vessel management.
- Strong understanding of vessel operations and offshore project execution.
- Knowledge of chartering and commercial operations is advantageous.
- Proficient in Microsoft Office Suite.
- Fluent in English, both written and spoken.
- Excellent organisational and coordination skills with strong attention to detail.
- Confident communicator with the ability to build effective client and stakeholder relationships.
- Able to work autonomously while managing multiple priorities in a fast-paced environment.
- Proactive mindset with strong problem-solving and risk-anticipation skills.
- Willingness and ability to travel within the Middle East to attend vessels as required.
