Job Description

We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support to the Director of a growing family office. The ideal candidate will be experienced in handling a wide range of administrative and executive support tasks, be highly detail-oriented, and demonstrate exceptional communication and interpersonal skills. This role requires the ability to work independently, manage confidential information with discretion, and interact professionally with stakeholders at all levels.

Key Responsibilities:
  • Efficiently manage and prioritize the Director’s calendar, including scheduling meetings, appointments, and travel arrangements, while ensuring full agenda awareness and preparedness.
  • Handle incoming and outgoing communications on behalf of the Director, including emails, correspondence, and phone calls.
  • Plan and coordinate complex domestic and international travel arrangements, including flights, accommodations, visas, and detailed itineraries.
  • Prepare meeting materials, agendas, reports, and presentations as required.
  • Attend selected meetings to take minutes and follow up on action items, distributing summaries where necessary.
  • Act as a key point of contact between the Chairman and internal/external stakeholders, including advisors, partners, and service providers.
  • Support special projects, including research, coordination of information, and ad-hoc administrative tasks.
  • Manage day-to-day administrative matters, including overseeing office supplies, vendors, and general office coordination as required.
Qualifications:
  • Bachelor’s degree or equivalent experience preferred.
  • Minimum 3–5 years of proven experience as an Executive Assistant or in a similar role, ideally supporting senior or C-level executives.
  • Exceptional organizational and time-management skills, with the ability to multitask and prioritize effectively.
  • Strong attention to detail and excellent written and verbal communication skills.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • High level of discretion and professionalism when handling confidential matters.
  • Proactive, self-motivated, and able to work independently with minimal supervision.
  • Flexible and adaptable to changing priorities in a fast-paced environment.
