Job Description

Faststream are supporting a well known international shipping organization to help hire for a Fleet Team Assistant.

In this role you will provide operational, technical, and administrative support to our clients  Fleet Services team.
Working closely with Technical and Marine Superintendents, you will play a key role in supporting vessel operations, project coordination, environmental reporting, and fleet performance monitoring.

This position offers exposure to a wide range of fleet management activities, including dry dock planning, repairs, compliance monitoring, budgeting support, stakeholder reporting, and continuous improvement initiatives.

Key Responsibilities

Fleet Operations & Project Support
  • Support the planning, execution, and close-out of dry dock and repair projects.
  • Assist with operational expenditure budget preparation.
  • Coordinate service engineer attendance and vessel boarding arrangements.
  • Maintain fleet service records, technical bulletins, and monthly reports.
  • Attend fleet meetings and prepare post-meeting reports and action trackers.
  • Organise and coordinate monthly vessel conference calls with key stakeholders.
  • Support vessel administration, documentation control, and filing activities.
Compliance & Reporting
  • Assist with environmental reporting requirements, including EU ETS, EU MRV, and IMO DCS.
  • Monitor vessel certification status and distribute monthly compliance reports.
  • Support survey, audit, and management-of-change processes.
  • Assist with guarantee claims administration and occurrence reporting follow-up.
  • Work with finance teams to monitor agency accounts and outstanding disbursements.
Performance Monitoring & Continuous Improvement
  • Maintain fleet operational records and KPI data.
  • Prepare presentations and reports for owners, charterers, and management.
  • Support performance reviews and fleet improvement initiatives.
  • Assist the wider fleet team with operational and technical activities as required.

Essential Requirements
  • Secondary education or equivalent.
  • Strong analytical skills and attention to detail.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office applications.
  • Strong organisational and administrative abilities.
