Opportunity for a Contracts Administrator to join the market leaders in clean marine technology.

Silverstream Technologies has successfully developed and deployed a market-leading clean marine technology solution over the last ten years - The Silverstream® System. Our Air Lubrication System (ALS) fundamentally changes the interaction between water and a vessel's hull, creating a carpet of microbubbles that coats the flat bottom of a vessel. As a result, frictional resistance is reduced - dramatically improving a vessel's fuel consumption and associated emissions.

The role

The Contract Administrator role is a key addition to the Operations team responsible for supporting the functional organisation to achieve goals focused on both successful pre-contract-award phase activities as well as successful project contract execution. The development and management of our contracts with our key customers and partners is essential to our success.
This new role reports to the Head of Contract Management and is primarily responsible for:

(A) providing general administrative support to Contracts Team,
(B) supporting Contract Managers in the effective preparation of bids and execution of projects,
(C) providing administrative support for change control where necessary,
(D) supporting Sales and Project teams with regards to innovative and best practice contract administration standards,
(E) The Contract Administrator has responsibility for contract administration requirements across the full pre/post-award phases of the project lifecycle.

The responsibilities
  • Oversight of all necessary project contract administration activities.
  • Support Contract Managers and implement best practice processes and solutions for various contract administration activities.
  • Develop and drive best practices related to contract record keeping, including bids and proposals preparation, change and risk registers and formal communications.
  • Administer simple contracts to ensure compliance with the Contract Terms & Conditions, technical requirements, project procedures and Company policy.
  • Keeping records of all potential claims and/or variations updating in timely manner.
  • Drive timely Milestone Billing Process liaising with Project Engineers and Finance.
  • Administer Letters of Credit process working with Supply Chain, Accounts and Banks.
  • Preparing Performance Guarantee applications and communicating with the Banks.
  • Assist in drafting and preparation of various contract documentation.
  • Processing customer / supplier correspondence, dispatching of invoices, contractual notices etc.
  • Arranging Couriers for business-related correspondence to be sent globally, often with quite tight deadlines.
The Qualifications and Experience
  • Minimum years of relevant industry experience - 3 to 5 years
  • Contract administration experience (preferably EPC/projects/maritime/oil gas related business) is critical for this role and understanding of contract Lifecyle activities from bidding stage to Contract  execution to close out.
  • Good knowledge of and experience in contractual language and the key clauses for contract execution and successful delivery of projects.
  • Familiarity with Inco Terms and related principles
  • Previous document and information management experience.
